Reasons of OST File Corruption: To Recover Convert OST to PST

We all use MS Outlook to carry out both internal and external corporate communications. All the Outlook data is stored in a proprietary file called PST (Personal Storage Table) file. However, at times Outlook is used in cached mode, also known as offline mode, at places where the network is either not very reliable or limited. You can work in the offline mode as you would work normally while the changes are reflected when the connection is made with the Exchange Server. All the data in the offline mode is saved in an OST (Offline Storage Table) file, which can get corrupt because of various reasons that are discussed later in the article. To recover OST file, the in-built tools can be used to do the needful. However, if you are unable to do so then you should use a third-party OST to PST converter that converts OST to PST file after repairing the OST file.
There are few cases when the Outlook OST gets corrupt or becomes orphan. In such cases, OST file needs to be recovered as the unsaved data can be lost. These cases are:
The OST file is corrupt or damaged. There are some unsent emails that you want to recover.
There is some data that exists only in the local OST (offline storage table) file as it has not been synchronized with the Exchange Server.
The Exchange Server is unavailable for some reasons. Because of this, the OST file is unable to get synchronized. Some of these reasons are:
The user mailbox is shifted or deleted from its original location.
The Exchange Server system is shut down for sometime.
The name of the Exchange server or the user mailbox is changed.

Resolution:
To overcome such situations, you should use the in-built OST Integrity Checker Tool (Scanost.exe) to repair and rebuild the OST file. This tool checks and repairs each component in the OST file with its copy in the Exchange Server
If the issue is not resolved even after using the OST Integrity Checker Tool, then you should use a third-party OST recovery tool to recover the OST file. These read-only tools, then, convert OST to PST file without making any changes in the original OST file.
The best OST recovery tool that repairs corrupt OST files from all instances of logical corruption and converts it to PST file is Stellar Phoenix Mailbox Exchange Desktop. Recovering OST created for MS Outlook 2010, 2007, 2003, 2002, and 2000, this OST to PST converter restores emails, attachments, tasks, journals, contacts, calendar entries, etc. With the ability to preserve the formatting of the HTML and RTF messages, this convert OST to PST utility is compatible with Windows 7, Vista, Server 2003, XP, and 2000.

How to fix Exchange is Currently in Recovery mode Error

Microsoft Exchange when combines with MS Outlook application delivers an excellent and in demand e communication environment. Such kind of environment is well cooperates with both office and home users. MS Exchange server automatically creates an OST file which is a replica of Exchange mailbox containing all the data entered by user while working offline. But often OST file users come across error issues while accessing their OST file data through Outlook.

Consider a scenario when you attempt to establish connection between MS Outlook client and Exchange server 2003 the following error message get displayed on your system screen:

"Exchange is currently in recovery mode. You can connect to your Exchange server through the network, work offline, or cancel this logon"

Thus with the emergence of the error message you become unsuccessful to establish connection between Outlook and Exchange server and hence cannot access your OST file emails.

Two primary reasons responsible for this error issue are:

1.Enabled Cached Exchange Mode or
2.Migration of Client mailbox to another Exchange Server version

However your OST file data remains inaccessible to you unless you fix ost file error issue from your system. The error problem can be fixed in two possible ways:

By disabling Cached Exchange Mode – If the Cached Exchange Mode is running or in enabled state then disable it by performing the following steps:

1.  Go to Tool menu>Email Account>View change the existing email account and click on Next button
2.  In Outlook process email for these accounts and select the Change option
3.  In Microsoft Exchange Server uncheck the Cached Exchange Mode option checkbox to disable it and restart Outlook

By creating new Outlook profile - In order to create new profiles in Outlook follow the steps given below:

1.  Go to Control Panel>User Account>Mail then select show profile and click on the Add option and type the desired profile name
2.  Click on OK and follow the on screen instruction to complete the process

The above mentioned steps will resolve the error problem but does not allow you to access your previously stored mailbox data from Outlook. For that you need to convert OST to PST file using genuine third party OST to PST converter tool. The tool scans the OST file and repair and convert it into PST hence making it accessible to you.

How to prevent and resolve Outlook Freezeeing

MS Outlook is an email management application that provides an easy way of e-communication with lots of other features. Using Outlook one can access all their mailbox data even in offline mode. Outlook uses offline storage table i.e. commonly known .ost file to facilitate users to access mailbox data in offline mode.

Due to all its overloades features Outlook may freeze sometimes that raises various problems to user in terms of time and data lost. Once the Outlook freezes, all the data accossiated with it like emails, calendar entries, contacts notes etc. becomes inaccessible, you have to wait so that the Outlook starts fuctioning again or forcibally close the application and start it again. Suppose you are in the middle of any task such as writing an email  or entering any other data, in that case forcibally restarting the application results in lost of all your unsaved data.

To minimize the Outlook frezeeing problem follow below mentioned steps.

  1.   Try to get smaller PST file size, archive all your unwanted items to reduce the pst file size.
  2.   Download and install the Microsoft Patch released to enhance the performance of Outlook. Microsoft Patch can be downloaded from :  http://www.microsoft.com/downl oads/details.aspx?familyid=C26 2BCFD-1E09-49B6-9003-C4C47539D F66&displaylang=en
  3.   Perform hard drive de-fragmentation, highly fragmented PST file is also cause Outlook freezing.

Frezee Outlook issue may also results in ost file corruption and once the ost file gets corrupt there is no way to recover ost file except converting ost file to pst. If you have not made any changes to the ost file since its last synchronization then there is no issue, simply delete the old ost file or rename it, a new ost file will be created automatically when you get connected to the Exchange server, but in case you make made any changes to the ost file since its last synchronization with Exchange Server and want to recove the changes with all the ost file contents, you have to convert ost file to pst file.

Since no such utility is inbuily in Outlook that can convert .ost file to .pst file you should rely on third party convert ost to pst tool. These tools are read only, that means they convert all the components osf Outlook .ost file to .pst file without altering any of the existing content. such tools are capable of converting ost to pst file in any instance of corruption and supports all the latest versions of Windows and Outlook such as Outlook 2010, 2007, 2003, 2002, 2000 and Windows 7, vista, 2003, XP, 2000.

Resolve Outlook OST file is already in use Error in Outlook

OST file i.e. also known as Offline Storage file/table is being created when Outlook is configured to work with IMAP or Exchange account. This OST file enables us to work in cached/offline mode. When we work offline this OST file is being used & gets updated and later being synchronized with Exchange Server to update itself and the online mailbox. Sometimes this OST file becomes inaccessible due to some issues or corruption in such a case you become unable to access the OST file components.

Ok, let’s consider a practical situation, suppose you are using Outlook and suddenly a message pops up as below:

“The file OST_File_Path\outlook.ost is already in use by the maximum number of applications. Close some of the applications, and then try again.”

This is one of the most common error message that Outlook users face regularly.

Why this error?
You get this error because either you are trying to access some corrupt OST file. Or your OST file is being used by so many applications and due to which it becomes irresponsive and Outlook is not able to communicate with it.

How to Resolve it?
If the error is due to the use of OST file by various applications, then proper restarting of the system will resolve the issue.

If the reason behind the error is not resolved after restarting the system, then the corrupt OST file is the reason behind this error. To recover OST file you have two options.

  1. You can recreate OST file. To recreate OST file backup OST file by renaming OST file. A new OST file will be automatically created with all current online mailbox content, when you get connected with the Exchange Server.
  2. Using this option you can recover the current online mailbox component, but what in case you have some important work done in the OST file and that is not synchronized with the Exchange Server. In that case you need to recover the OST file. Outlook comes with built-in utility named scanost.exe and scanpst.exe that can be used to repair/recover the OST file. Search your system to find both files and then use them to recover/repair corrupt OST file.
The built-in tool is not a reliable way to recover/repair the OST file, because the tool only woks in ordinary cases of OST file corruption. In serious corruption these utilities may fail and may also leads to further damage to the OST file.  So it always recommended backup the OST file before using the built-in tool to repair it. If the built-in utility fails to recover the OST file you can try third party tool to recover OST file components. Third party OST recovery tools are commonly known as convert OST to PST tool. Such convert   OST to PST tools are easy to use and converts the corrupt OST file into PST file which can be imported into Outlook.
